Submit your archive

Thanks for your interest in submitting documentation of your creative practice into our archive. Please find below information about the formats we typically accept, and the process for transfer.

If you are not already a member, we ask that you become a member first before lodging your submission. This helps support the time and materials required for ongoing collection management. You do not need to remain a member for your archive to stay in our collection, once it is in, it is there permanently unless you personally request its removal.

Our volunteers will archive your materials for you, or you are welcome to visit in person and assist. You are also encouraged to periodically send us new material for your archive. Please make a copy of the deposits you have sent us for your own records.

We do not accept original artworks.

We cannot accept material that has not been discussed with us first. Please get in touch with us before sending anything.

Format

PHYSICAL ITEMS 

We accept hard copy documents and files including CVs, reviews, room sheets, catalogues, books, articles, theses, letters, promotional material, diaries, slides, posters, photographs or other documentation of your art practice. We cannot accept original artworks.

Please send two copies of physical materials where possible, as we maintain duplicate files in the Richmond Library on open access. If you have large format physical items, or those which require a significant amount of conservation work, please let us know so we can discuss your options.


DIGITAL ITEMS 

Preferred long-term digital formats include TIFF/JPEG (images), MPEG-4 (video), PDF-A (documents) or WAV/AAC (sound). These can be sent via email (depending on size), online transfer platforms including WeTransfer or shared links from Dropbox or Google Drive. Links must be accessible and downloadable by us, so please ensure you have set up the correct permissions.

Process

STEP 1

Before you commence, please contact us so we can help determine the best method for transfer and let you know whether we have the capacity for certain items.

Tell us:

  • whether you will be transferring physical or digital items, or both

  • the types of formats

  • the approximate quantity

  • whether you have anything large format or that requires interventive conservation

STEP 2

Download the Women’s Art Register Copyright Agreement (PDF, 46KB).

STEP 3

Download the Image Description List (PDF, 121KB).

STEP 4

Complete both forms electronically and return via email. If you need assistance with filling them out, please get in touch.

STEP 5

Once you have spoken with us and completed the forms, send your items through:

  • Package and send any physical items to: Women’s Art Register, c/ Richmond Library, 415 Church Street, Richmond VIC 3121, or bring them in person at the agreed appointment time made in Step 1.

  • Send any digital items to us via the method agreed in Step 1, making sure that any links you send to us are accessible and downloadable.
